Terms of Service

1. The service

HuntFlow provides software that helps construction contractors analyse tender documents, prepare bid documents and manage bid pipelines (the "Service"). By creating an account you agree to these terms on behalf of yourself and, where applicable, the organisation you represent.

2. Your content

You retain all rights to documents, data and content you upload or generate. You grant HuntFlow a limited licence to store and process that content solely to provide the Service. Content is processed by third-party AI providers under terms that prohibit use of your content for model training.

3. AI-generated output

The Service uses generative AI. Output is a draft prepared for your review; you are responsible for verifying every statement, figure and document before submission to any procuring entity. HuntFlow flags claims it cannot ground in your evidence but does not guarantee accuracy, completeness or compliance with any tender.

4. Subscriptions and billing

Plans are billed in advance per workspace through Paddle, our merchant of record, who issues the invoice and collects any tax. Starter is US$98 per month or US$980 per year; Pro is US$149 per month or US$1490 per year; Enterprise is priced by agreement and invoiced separately. There is no free trial: a workspace with no plan can be set up and can hold documents, but cannot run AI analysis or generate documents. You may cancel at any time and access continues to the end of the paid period.

5. Credits

AI work is metered in credits. Every action that calls an AI model — tender analysis, the Hunt Score, a BOQ, a market-rate lookup, each generated document, the Submission Guard, the Mock Evaluator — is charged the credits that action actually consumed, and each charge is itemised in Settings → Plan & billing, with the model, the tokens and the time.

Your plan grants a fixed number of credits at the start of each billing period: 3,000 on Starter, 6,000 on Pro, and an agreed number on Enterprise. Plan credits are for that period and do not carry over — an unused balance is replaced, not added to, when the next period begins, and the expiry is recorded in your credit history.

You can buy additional credits at any time from US$15. Purchased credits do not expire while the subscription is active, and they are only drawn on after the period’s plan credits are used up.

How many credits a piece of work costs depends on the size of the tender and the length of what is produced, so the number of bids a plan covers is an estimate, not a guarantee. When a workspace runs out of credits, AI actions stop with a message rather than continuing and billing you; everything else — your documents, your bids, your exports — keeps working.

6. The shared rate index (optional, off by default)

HuntFlow keeps a cross-customer index of construction prices. Contributing to it is a per-workspace setting that is OFF unless a user with the finance role or higher — finance, technical lead, bid manager or admin — turns it on in Rate Library → "Contribute anonymised rates". Nothing is contributed while it is off.

When it is on, each priced observation records the catalogue item, the country and region, the unit, the price and its currency, the date it was observed, its evidence class (supplier quote, won bid, published price list, uploaded price list or manual entry) and a confidence weight. Inside HuntFlow the same row is also tagged with your workspace and — where the price came from a supplier quote, an uploaded price list or an RFQ — with that supplier, the name of the source document and the wording of the line the price was read from, because that is what lets you withdraw or correct it afterwards. Whole documents are never copied into the index.

None of those tags is published. A shared rate joins the periodically recomputed estimate for its item and country — a value, a low/high band, a confidence, a sample count and a count per evidence class. Once at least three customers have contributed for the same item and country, a shared rate may also be shown to them individually and anonymised: the price and currency, the unit, the evidence class, the confidence and the month. Never the exact date, the supplier, the document, your notes, or which customer it came from.

Turning the setting off withdraws both future and past contributions: your observations are marked unshared and the affected countries are recomputed, so any estimate left without qualifying evidence behind it is deleted. Withdrawal cannot recall a figure another customer has already used in a bid they have priced. Deleting the workspace deletes its observations outright.

7. Acceptable use

You will not use the Service to prepare fraudulent bids, to misrepresent your organisation, or to infringe the rights of others. We may suspend accounts that breach these terms.

8. Liability

The Service is provided "as is". To the fullest extent permitted by law, HuntFlow's aggregate liability is limited to the fees paid in the twelve months preceding the claim. HuntFlow is not liable for the outcome of any tender.

9. Changes

We may update these terms with notice through the Service. Continued use after the effective date constitutes acceptance.
